New eAYSO2 terminology as of November 2009

With the introduction of eAYSO2, they have changed the terminology to be clearer. Here is a table of terms changed that apply here and elsewhere.

Within a member year, you set the active program(s). Primary is always active and available and what Volunteers are put into. You create additional programs for players that were like previous sub-seasons.

Outdated Screens and Instructions Below
The page below and its screen shots need to be updated to the eAYSO2 screens yet. While the screens have changed with the new eAYSo2, the general process and warnings outlined below still apply and can be followed if you apply the terminology changes shown above first.

Setting Season Preferences (once a year)

Go ahead and select the Region - Season Preferences menu item as indicated here:


This will get you to the following Season Preferences screen:


The screen is divided into two sections; each with its own update button. As such, each are described separately below. Also note that the region designation is grayed out as the region is fixed to the one you have control over only (even for Area and Section staff, this is only their home region).

Setting Season Date and Fee

In the main season information screen (the upper half), one can set the current (in play, registered) season as well as the pre-registration season. You can also set the fee's (normally the main fee, not any early discounts you may offer) here as well.

Warning:
You cannot go back to a previous Current (registered, in play) season. Therefore, only change this value when you know you need to move forward and no longer need to manipulate or use last seasons information such as the teams, registered volunteers, etc. The value is not changed until you select the update button.


Normally, you will come in and change the pre-registered season early so new volunteers and players can start registering for the next season while you are still finishing up with the current (registration) season. If you only run one season a year, say a fall season, then you can simply change both seasons at the same time. For regions that run a Fall Open-Registration? and Spring Secondary Play, their current (registration) season in March would be from the previous Fall while the pre-registration season would be the upcoming upcoming Fall season. This allows the current season Spring players and volunteers to remain active while you start accepting new pre-registrations. Once the Spring season is completely over and you want to start processing players and volunteers into the new season, you would set the registration (current) season to match the pre-registered season and start processing registrations.

Warning:
Do not process pre-registered volunteers or player registrations until the current season and pre-registered season 's match. Otherwise, you will accept pre-registered volunteers and players into the last years current season which is not likely what you want. Once a pre-registered player or volunteer is processed into the (previous) current season, they cannot be moved to the (upcoming) pre-registered season. They must re-register all over again — something they may not be pleased about if it was your error.


Make sure to click update button once done. There is never a time when the pre-registered season would be earlier than the registered season.

Setting Registration Messages
There are short, introductory messages that can be displayed to parents or volunteers who are trying to do something outside the normal window of opportunity. These are set in the bottom half of the Season Preferences screen here.

First, set a date up until which pre-registrations are accepted. After this date, normal registrations may be accepted. The message chosen for display is based on the date indicated. Before that date, the first message is displayed. After the close of pre-registrations, the second message is displayed. Note that the second message after the close can be twice as long as the first message.

Note:
For Web Youth Soccer users who do not use eAYSO for player registration, make sure to set a useful message to try and point parents in the right place. Often parents get to eAYSO from the National website and do not realize you may have a separate, local registration process. So this is a good place to point them back to your regional, local website for more information.


A message commonly inserted here by regions using third party registration tools for an upcoming Fall season is:
Player registrations are NOT ACCEPTED here.  Please register via our 
web site: http://aysoNNN.org/ after 1 May 20xx.  Coach and Referee 
Volunteers ARE required to register here.  So only use the volunteer 
registration link please.  Thank you.
